Automated delivery of reports by email
You can use the Auto-Email rule option (AER) that will send watch reports directly to your clients, colleagues, or yourself by email, with the results built into the body of the email. Below is an example of such an email report (default view):
The Auto-Email rule option can be set up for your Watch portfolio at the Dashboard/ Trademark Watch/ Manage in the last column on the right:
Upon clicking the “Set rule” button, you will see a pop-up window, where you can set up the Level of details you would like your reports to have, add your Custom branding with the company logo and details, and most importantly, fill out the Email rule settings.
In the Email rule setting section, you can set up the scope of the rule to apply to a single watch or to apply the same rule for all watches grouped within one Client/Label. With the first option, there will be a separate email report for each mark, and with the second option, the results will be grouped and one email per client or label will be sent.
Also, here you can set up the periodicity of emails to go out weekly, monthly, or every other number of weeks. This setting does not affect the actual report generation process, but only the frequency of emails (several weekly reports can be merged).
A Basic template is a standard Markify AER report design where you can also choose which columns to include. Alternatively, you can add a custom html template with some adjustments.
Lastly, you have a section where it is possible to adjust the subject of the email. It may be a good idea to include the watch name or label as well as the report date (please tick the appropriate checkbox for the latter):
You can also change the email sender name (by default it looks like MyLawFirm <service@markify.com>, but if necessary, it is possible to set up the email servers connection so that emails are redirected to you and sent further from your email address). Please do not use the actual email address in the sender name string to make sure it doesn’t end up being treated as spam.
When all the configuration is done, please click the “Set rule” button.
If you need to adjust an earlier created AER, please click the respective button (it shows as the “Change” button for those cases where you already have a rule):
Please note that you can also check your automated email logs via the respective link. There you can check not only a confirmation of the status of the reports, but actually click the “Report file” link and check the email content:
