What is Bulk import?

Bulk import is the functionality for the fast and easy upload of trademarks into your watch portfolio.

All of the watch parameters (except for the Auto-Email rule) can be listed in the Excel file and uploaded into our system.

TABLE OF CONTENTS

General guidelines and recommendations for bulk import

  • Latest up-to-date samples can be downloaded from the Markify account (Bulk import button – sample). Please always check for the last version of the file.

  • There should be separate lists for Wordmark watches, and for Image watches (so if a mark should be set for both types of monitoring, it should be in both lists)

  • All the mandatory data must be provided (see the specific requirements in the dedicated sections of this article)

  • Each excel line/ entry is set up as a separate watch, but if you prefer so, it is possible to combine several TMs with the same name into 1 watch (e.g. separate single country marks into 1 global watch). In that case, it is necessary to transform your excel before the upload accordingly.

  • Pay attention to the Watched name field – it should only contain the TM name with no additional information

  • Note that it is recommended to set up two watches for combined marks: wordmark watch for the verbal element (if important) and image watch for the visual; if there is a lot of text besides the image, often it is good to crop it and just keep the bare logo

  • Purely textual logos are recommended to set up as wordmarks only; if there is no distinctiveness but the plain "classical" font, these watches may produce a significant amount of noise

Wordmark watch bulk import/setup

To begin with, please click on Bulk import button at your Wordmark Watch/ Manage page, and you will see a pop-up window that lists the required columns and parameters for the excel upload.

By clicking on the Sample file link, you can upload the up-to-date file formatted in a way that best suits the bulk upload procedure

We recommend using Client/Label for the information that will be further used for grouping or categorizing your watches or watch results, therefore it's typical to use the Owner name here (if you are a service provider), or your company divisions (if you are a brand owner).

Internal note can be used for any additional information of your choice, for example, reference numbers or some watch-specific instructions.

Watch name, database, and class are mandatory to fill out if the setup is done by TM name.

Otherwise, you can use the TM number in the dedicated column (Watched serial) and skip those 3 columns - the necessary parameters will be pulled from the database automatically.

More on these two setup options you can read further in this article.

Please remember to check the correct database values in the second tab of Excel template:

Identical results in other classes will provide Risk Level 1 results outside your main scope of monitoring. Please use "1" value if you would like to enable this option, or "0" value to disable it. If you do not fill out this information, the system treats it as a "0"

Auto-renewal option guarantees that your monitor automatically extends to another year. Please use "1" value if you would like to enable this option, or "0" value to disable it. If you do not fill out this information, the system treats it as a "1", so by default all watches are set to be automatically renewed.

External id and External client id parameters are relevant for the API integration where watch results are displayed in the 3-party applications.

Once the parameters are filled out, please save the Excel file on your device, and then at Markify, click the "Choose file" button, select the Excel that you prepared, and after that, click the “Upload file” button.

You will see a preview with several first rows to make sure that the data is mapped correctly. If you see any mismatch, at this point it is still possible to reorganize the columns by drag-and-drop motion.

Also, you can tick the Skip first row checkbox so that the system does not set up the column headers as watch parameters.

When this is done, please click the Add button, and watches will be uploaded:

Please add watches to the cart and activate with your usual payment method.

-import by name

If you prefer importing watches based on the TM name, please make sure that your excel lists 3 mandatory parameters: Watched mark, Watched DB, and Watched class.

Other fields described earlier are optional, so your Excel can look like this

After uploading the file, you will have the following watches in your account:

- import by number

If you have the TM number data, your import can be even easier, because our system will pull other missing parameters from the database.

However, it is highly recommended to at least combine the Watched serial and Watched DB info, as shown on the screenshot below:

Using both TM number and database, it is easier to detect what trademark should be set up.

Since our system does some number normalization, upon uploading the list, you can be suggested to choose the correct mark, if there are multiple options.

On the screenshot below, you can see that NIKE and ADIDAS only had one potential match each, so the configuration pulled the owner name and class info from the database.

But for the third mark, PUMA (reg n M0828490), after number normalization you are given two other suggestions. It is necessary to tick the correct option so that the setup is finalized:

Please note that the system will apply this trademarks parameters (owner, database, class) based on the TM that you tick, even if in the excel file some other information was provided. If you need to further adjust this info, you can still do it (Client/label and classes can be adjusted at any time, and databases only before the watch activation)

The Bulk import functionality will also work with no additional parameters, but it is very likely that there are more cases like PUMA, where it's necessary to manually confirm the mark, so this will be more time-consuming.

Otherwise, you can fill out all of the TM parameters in the Excel file, together with the TM number.

In that case, please be aware of the checkbox called "Prioritize Watched serial/registration search over Watched mark" that defines whether your listed parameters will be overwritten by database parameters or not.

As an example, we will use a German trademark ACCEL X with TMnumber 3020222434869 registered in class 35 and owned by Accel X Gmbh. As you can see below, the Excel parameters are slightly different:

And the outcome matches the Excel parameters, and the setup is done by name

But if the checkbox to "Prioritize Watched serial/registration search over Watched mark" is ticked, specified Excel parameters will be overwritten by the database information:

Image watch bulk import/setup

To use bulk upload for Image watches, please click on the green "Bulk import" link at Trademark Watch/ Image/ Manage page and discover the description of the required fields, as well as the sample file in the popup menu:

For Image Watches, there are 3 ways of fetching the logotypes: via the trademark numbers (also importing other TM parameters, if needed), via the image URLs, or via the actual image files. The etails will be explained further in this article

Please upload an Excel file with your parameters via the “Choose file” button and then submit the input via the “Upload file” button.

After that, you can see a preview of your watches. There you can tick the option “Prioritize Watched serial/registration search over the Watched mark” if you prefer to download the trademark data based on numbers. Click the “Add” button to submit your data

-import by number

Just as with the upload for wordmark watches, when using the TM numbers, watch TM parameters are be loaded from Markify database.

You can also use more parameters in the excel. In that case, please note the "Prioritize Watched serial/registration search over Watched mark" checkbox during the upload process, as described in the upload by number for wordmarks earlier.

It will defined whether the parameters specified in the excel will be overwritten by the details of those marks, as per relevant databases.

-import by image URL

As an alternative, it is possible to do watch setup by the logo URLs in combination with database and class parameter:

Preview at the Bulk Import pop-up menu will show you the logos that are about to be set up

Please note that for the bulk upload feature to work correctly, the logo image links (URLs) must point to publicly accessible web addresses, in a way that anyone (including systems like ours) could open the link without requiring a login or special access.

Unfortunately, links from cloud storage services like Google Drive or Dropbox, even if marked as “public” or “viewable by anyone,” often require indirect access through a user interface or have security tokens in the background. Our system cannot interpret those — it requires a direct URL to the actual image file (ending with .jpg, .png, etc.) that loads in a browser with no additional steps.

Therefore it is recommended to test your preferred source on several examples before working on your entire Excel file.

-import by image file

One more way of uploading the Image watches is by using the actual image files.

In this case, it is necessary to list the image file names in the Internal comment column of your sample excel, and fill out other parameters (at least watched databases and classes, as usual).

Please make sure that the file names are exactly the same as the original files, with no transformation (file extention is not needed, e.g. just "capybara", not "capybara.jpeg")

After that, please create a zip archive with this excel and the image files that you used:

Via the preview, you will be able to see watches that are configured. Upon clicking the "Add" button, they will be added to the account

Here is how they look in the account
